Position Summary:

The University of Oregon’s Institute of Marine Biology invites applications for a full-time Office and Accounting Specialist position. The purpose of this position is to assist the Education Coordinator and business office in managing office and business functions and to support the educational and research mission of OIMB.

The Office and Accounting Specialist uses bookkeeping skills to record, examine, and reconcile expenditure and revenue transactions and records to maintain accountability in accordance with statutory requirements, university policy, and general accounting principles and procedures. Performs related clerical work as required and has a variety responsibilities related to purchasing, inventory control, accounts payable/receivable, and provides backup payroll support.

The Office and Accounting Specialist will complete contracts for specific groups, process travel reimbursements, assist in preparing teaching materials, brochures, special reports, perform UO database system queries as needed, explain rules, processes and procedures to students, staff, faculty and the public. General office functions will include order and inventory office and teaching supplies, maintain office files, process incoming and outgoing mail and provide coverage for the operations manager as needed.

This position will support academic administration including: course scheduling, enrollments for classes on OIMB campus and receive student applications and scholarships for tuition charges for room & board. Frequent communication with students regarding travel, billing/refunds on student accounts and to schedule tours is required of this role. This position reports to the Operations Manager of OIMB and works closely with staff, faculty and students at the complex.
